The Embassy also has the responsibility for overseeing relations in the Seychelles, Mauritius, and Malawi, with the ambassador also being the Permanent Representative to the UN.

Visa Officer

The Danish Embassy in Nairobi is looking for a new member of staff

Type of employment: Full time on a local, permanent contract

Starting date: As soon as possible

The Embassy is seeking to recruit a Visa Officer who will be part of the Embassy’s Regional Visa Hub which is part of the Visa and Consular Team. The Regional Visa Hub in Nairobi handles applications from countries in the region such as Kenya, Uganda, Tanzania and Ethiopia. You will be part of a team with currently 14 colleagues.

Reporting: The Visa Officer will report to the Team leader of the Visa and Consular Team.

Main duties and responsibilities

As Visa Officer you will process visa and residence permit applications from the countries in the region. You will be working with and ensuring the Schengen visa rules as well as the Danish administrative rules are followed. You will receive and register the applications and further conduct interviews with applicants, hosts, and other parties when needed. Working with residence permit and Schengen visa applications requires strong systematic and administrative skills. It is important that you can work in an independent and well-structured manner and with a great focus on details. After training and competence building, we expect that you are able to make good case assessments based on the rules and regulations and that you are proactive in delivering results. Other duties might be assigned, including providing support and back-up to other colleagues as needed.

Education and desired experience

  • Experience with visa processing and the Schengen rules is an advantage
  • Fluency in written and spoken English is a necessity. Knowledge of other languages spoken in the countries the Visa Hub covers e.g., Amharic is an advantage
  • Relevant knowledge and/or experience from working in the countries the Visa Hub covers
  • Experience with public administration • Sound judgement abilities and great attention to details
  • Experience with working across cultures is an advantage • Robustness and ability to handle stressful situations in a competent manner
  • Emphasis on thoroughness and ability to interact with the applicants and partners in a serviceminded manner
  • A team player with strong communication skills
  • Strong cross-cultural understanding and good interpersonal skills 2
  • Skilled in MS Office programs (Word, Outlook, Excel, PowerPoint), and other relevant programmes and applications as well as ability to quickly familiarize oneself with other IT systems.

Employment conditions

  • The Visa Officer will be employed according to regulations for local staff at the Royal Danish Embassy in Nairobi. Employment is subject to successful security clearance obtained from the relevant Danish authorities.
  • You will be offered full time employment on a local contract based on the relevant legally binding labour market rules of Kenya;
  • Your standard working hours will be 37 hours per week with some flexibility in organising your own daily working hours;
  • You will be entitled to 25 days of paid holiday per year; • Your salary will reflect your qualifications, relevant experience and proven work-related results;
  • As part of your salary, you will be covered by a workplace pension scheme;
  • You and your dependant family members will be offered reasonable coverage of sickness expenses.
